We are seeking a highly organized, compassionate, and detail-oriented **Administrative Specialist** to join our team. This role is essential in supporting our therapists, families, and clinical operations.
The Administrative Specialist will serve as a primary point of contact for families, assist with scheduling and documentation, coordinate insurance and authorization processes, and help maintain accurate records. The ideal candidate thrives in a fast-paced healthcare environment, communicates professionally, and enjoys working with children and families.
ROLE: Administrative Specialist
PAY RATE: $15.48 - $20.87/hr*
*Salary range is contingent upon relatable experience, type of credentialing/certification, education, and use of a second language in your role (50% of the time).

In this role, you’ll provide essential administrative and operational support that enables our teams to focus on what they do best—helping students learn and thrive. 🌈
Key responsibilities include:
👋 Greeting and assisting families in person and by phone
📅 Scheduling therapy appointments and managing calendars
🛡️ Supporting insurance verification and authorization processes
🗂️ Maintaining accurate patient records and completing data entry
💬 Communicating with therapists, caregivers, and school partners
💼 Assisting with billing coordination and general office operations
Minimum qualifications:
🎓 Associate’s degree required; Bachelor’s degree preferred
🏫 2–3 years of experience in a medical, education, or therapy-based office setting
🔄 Strong multitasking skills and ability to manage competing priorities
⏱ Self-directed with the ability to meet deadlines in a dynamic environment
🚗 Ability to travel between multiple sites
🪪 Valid driver’s license and personal auto insurance (25/50k liability)
🛡 Ability to pass FBI and DOJ background checks
🩺 Current TB test (within the last 6 months)
Work environments vary by location and may include classrooms, clinics, campuses, or distance-learning settings. You’ll work closely with adults and children and may experience moderate to loud noise levels. Physical demands may include lifting, carrying, pushing, pulling, stooping, kneeling, crouching, and crawling.
